Time Off Benefits

WeSalute offers the discretionary benefit of both paid and unpaid time off. We also offer eleven paid holidays, and time off for parental leave, bereavement, and jury duty.

We care about your well-being. WeSalute expects you to take your holiday breaks and use any unpaid or paid-time-off with the valuable mental health benefits it provides you. We encourage you to use all of the time off benefits and enjoy them without question. We understand that regular breaks are important for good mental health, to maintain a productive career, and support a happy work-life balance. We try our best to keep your time off benefits straightforward, allowing you to plan for your breaks, to anticipate and look forward to them, and enjoy sharing your experiences with your fellow Team Members when you return.

Types of Time Off

Here are the discretionary time-off benefits you may be eligible for, depending on your Team Member status:

FULL-TIME

All full-time Team Members are eligible for Paid Time Off or "PTO." PTO is paid authorized leave from work for a number of days annually which may be granted without a specific reason.**

WeSalute requires you to use any of your unused PTO if you are on disability leave or family medical leave, or any other leave of absence, when permissible according to state and federal law. Otherwise, you do not need to disclose why you are requesting or using your PTO.

Calculating Paid Time Off ("PTO")

FULL-TIME

All full-time Team Members are eligible for Paid Time off (PTO). Our Paid Time Off policy provides you with paid, authorized leave from work that you can use for any reason. Your annual PTO eligibility is based on your length of employment with WeSalute:

0-5 years of employment: 120 hours (15 days) annually

5-10 years of employment: 160 hours (20 days) annually

10+ years of employment: 200 hours (25 days) annually

You'll accrue PTO days in your Deel time bank each pay period, at a rate that corresponds to your years of employment. Please note that PTO will not accrue during any unpaid leaves of absence (LOA).

WeSalute respects your privacy; therefore, we do not require you to disclose the reason for your PTO request or usage, with the exception of extended Leaves of Absence, as permissible by state and federal law.

Scheduling Paid Time Off ("PTO")

FULL-TIME

You should try to plan and request your PTO two weeks (10 business days) in advance for approval through Deel. Of course, in the case of illness or emergencies, we understand this is not possible. But, when possible, advance scheduling is a good and considerate practice because it gives us time to plan and manage our workflows. For example, we may need to schedule other Team Members around your day to day duties, while you take PTO.

To schedule PTO:

  • Submit your PTO request through Deel two weeks (10 business days) in advance.

  • You will receive a Deel email notification of approval or rejection.

  • You are not permitted to carry any unused PTO over to the following calendar year.

  • PTO does not replace your benefit of paid holidays. You have 11 paid holidays each year in addition to your PTO days.

FULL-TIME PART-TIME US

We are committed to supporting the well-being of our team and recognize the importance of time off for personal health needs. The Sick Leave Policy is designed for operational efficiency and compliance with WeSalute guidelines and State Employment Laws regarding sick leave communications, and it should not be considered a monetary employment benefit.

This policy applies to all active full-time and part-time employees of WeSalute located in the United States.

Employees will accrue paid sick leave at a rate of one (1) hour for every thirty (30) hours worked. Accrual of sick leave begins on the employee's first day of employment and resets on January 1st of each consecutive year. Employees may use accrued sick leave for the following reasons:

  • The employee's own mental or physical illness, injury, or health condition.
  • The need for medical diagnosis, care, or treatment of the employee's  mental or physical illness, injury, or health condition.  
  • The need for preventative medical care for the employee.
  • To care for a family member (as defined by applicable state or local law) with a mental or physical illness, injury, or health condition, or who needs medical diagnosis, care, or treatment, or preventative medical care.

Employees should provide reasonable advance notice to their Manager of the need to use sick leave, where foreseeable. For unscheduled absences due to illness, employees should notify their manager as soon as practicable, ideally within the first hour of their scheduled start time. In the event your Manager is unavailable, please provide notice to your next skip-level Manager. 

WeSalute may require a doctor's note or other reasonable documentation for absences of 3 or more consecutive workdays, or as otherwise required by applicable law.

Sick leave can be used in one hour increments. With Manager approval, Sick Leave hours can exceed the hour balance.

Employees will be paid their regular hourly rate for any paid sick leave taken.

Paid sick leave is not payable upon termination of employment, except as required by applicable state or local law. Employees are not entitled to cash out unused accrued sick leave, except as required by applicable state or local law.

Unpaid Time Off ("UTO")

FULL-TIME PART-TIME

All regular, full-time Team Members and regular, part-time Team Members are eligible for Unpaid Time Off. Unpaid Time Off or "UTO" is an authorized leave from work without pay which may be granted for any reason.

We understand there may be certain circumstances that require you to take an extended period of time off beyond your PTO benefits. During these periods, getting UTO, which is time off your work without pay, may be available. As a Full-time Team Member, you can request UTO after you used all your PTO in your Deel time bank. While on UTO, you will maintain your regular employee benefits, except contributions to your 401(k) plan. Since WeSalute contributions to your 401(k) retirement plan are based on earnings and you are not paid during this type of leave, UTO will reduce your benefits of employer contributions to your plan during this period.

You may request UTO for up to ten (10) days in total each year. If you need an unpaid leave of more than ten days annually, you must file a request for a Leave of Absence.

Scheduling Unpaid Time Off ("UTO")

FULL-TIME PART-TIME

As a Team Member, you will request and schedule your UTO in your Deel account.

You should schedule your request for UTO two weeks in advance. PeopleOps will have time to approve your request and add your new schedule for your team to view ahead of time in Deel Scheduler.

We understand that sickness or other unplanned emergencies are exceptions. In such circumstances, promptly notify us because your team is depending on you and will need to make arrangements for your absence.

You must receive Deel/email notification that your time off request is approved in your Deel account prior to taking time off.

We want all Team Members to utilize all their time off each year; however, occasionally, your request for PTO or UTO may not be approved for one or more of the following reasons or conflicts:

  • Your Team Members have already requested that time period off. This would result in overlapping time-off requests.

  • There is not enough Team Member coverage during your time-off request due to a planned project phase or peak operational time such as a holiday sales period.

  • You have requested 10 days of UTO already in the calendar year and have no more days left in your bank.

  • You are requesting time off without enough notice needed for Team planning purposes.

We recommend you submit your time off request as far in advance as possible to avoid these conflicts. If your request is denied, kindly resubmit your request for a more appropriate time based on the reason for your approval decline.

Wellness Day​

Introduction​

The purpose of the Wellness Day policy is to promote physical and mental well-being of our employees by providing dedicated time off to focus on self-care and personal wellness.

Eligibility​

All part-time and full-time employees are eligible for Wellness Day. Previously full-time employees received a floating holiday which we have now replaced with Wellness Day.

Frequency​

Beginning January 1, 2024, employees are entitled to one Wellness Day per calendar year.

Scheduling​

Employees must request approval for their Wellness Day at least two weeks in advance. The availability of Wellness Day may be subject to operational requirements and team workload, all efforts will be made to accommodate reasonable requests.

Usage​

Wellness Days are intended for employees to prioritize their physical and mental well-being. The day can be used for relaxation, leisure, or activities that promote your overall health. Employees should refrain from work-related tasks and communication during their Wellness Day, unless there are exceptional circumstances that require their attention. Wellness Days should be used in full day/shift increments.

Carryover and Expiry​

Unused Wellness Days will not carry over to the following year. Wellness Days not utilized by the end of the calendar year will expire and cannot be redeemed for any other benefits or compensation.

Documentation​

Employees are required to inform their immediate supervisor or the PeopleOps Department when requesting a Wellness Day.

Confidentiality​

The reason for using a Wellness Day is considered private and confidential, and managers should not inquire into the specifics of an employee's personal activities during this time.

Nectar PTO

FULL-TIME PART-TIME

To provide WeSalute team members with additional paid time off (PTO) as a reward for their contributions and achievements, facilitated through the Nectar recognition program.

Redemption Process

Nectar PTO days can be redeemed in Nectar under Rewards > Custom Rewards.

Important Notes

  • Only 4 Nectar PTO days can be purchased per calendar year.
  • Nectar PTO days do not carry over to the next calendar year.
  • Nectar PTO days are in addition to an employee's regular PTO accrual.
  • This policy may be subject to modification or termination at the company’s discretion.

Leave of Absence

FULL-TIME

There may be periods of time or circumstances that arise when you need to request a Leave of Absence from your work with WeSalute. Typically, a Leave of Absence request will involve a period of time longer than the 10 days annually permitted under UTO.

You can request a Leave of Absence when all PTO or UTO has been exhausted, or you need a longer period for specific life events such as a new child in the family, a disabling injury, medical event, or military leave.

There are three U.S. federal labor laws that provide you protections concerning a Leave of Absence from employment:

  1. Family and Medical Leave Act (FMLA)
  2. Americans with Disabilities Act (ADA)
  3. Uniformed Services Employment and Reemployment Rights Act (USERRA),

We are not required to comply with FMLA because WeSalute is a small employer. However, we have created Parental Leave benefits that exceed the FMLA requirements for larger employers (see the Parental Leave section).

You may have protections for a Leave of Absence if you become disabled during your employment under the Americans with Disabilities Act or "ADA".

You are covered for a Military Leave of Absence under the Uniformed Services Employment and Reemployment Rights Act or "USERRA". USERRA covers nearly all employees, including part-time employees, and applies to virtually all U.S. employers, regardless of size.

We are required under state laws to cover you with Workers' Compensation insurance. Workers' Compensation protections are governed by your individual state's law and apply to a Leave of Absence that is related to a documented workplace injury. You can apply for Workers' Compensation coverage for expenses if you are harmed while performing job-related duties. It can be used to recover lost wages for a workplace injury-related Leave of Absence, medical expenses, disability payments, and costs associated with rehabilitation and retraining.

The U.S. Department of Labor's Office of Workers' Compensation Programs (OWCP) administers four major disability compensation programs which provides to federal workers who are injured at work.

  • Vocational rehabilitation
  • Other benefits

Parental Leave

FULL-TIME

Parental Leave is a key benefit that we provide full-time Team Members. Parental leave provides the benefit of an authorized Leave of Absence from your work as a father or mother to care for a new child in your family.

Our WeSalute Parental Leave is for any kind of parent, mother or father, by birth, adoption, or surrogacy. We believe that having a great parental leave plan is critical to attracting and retaining our Team Members who are becoming parents or plan to become parents.

In addition to regular allotted PTO and UTO, we give an additional 12 weeks of time off to new parents. This 12 weeks consists of 2 weeks of paid time off followed by up to 10 weeks of unpaid time off. Parental Leave may be taken consecutively anytime during your child's first 6 months of life with you. In addition to these 12 weeks of Parental Leave you may use a combination of your remaining regular PTO or UTO hours to request more time off if wanted or needed. To ensure proper planning and a smooth transition, please provide WeSalute with 30 days advance notice before your parental leave begins, whenever circumstances allow.

Also, as a benefit of being a Team Member with our 100% remote workforce, our hope is that it is easier for you as a new parent. A remote workspace plus the ability to put in more flexible hours will be of help as you transition back to full-time at the end of your Parental Leave.

Bereavement Leave

FULL-TIME PART-TIME

WeSalute provides full-time and part-time Team Members with up to 5 days of paid bereavement leave per occurrence to mourn the death of an immediate family member. Immediate family members include spouse, domestic partner, children, parents, siblings, grandparents, grandchildren or other individuals significant to the Team Member’s life. You may use accrued, but unused PTO if additional time is needed. UTO may also be granted for any Team Member upon request.

Jury Duty Leave

FULL-TIME PART-TIME

WeSalute encourages you to fulfill your civic duties as a citizen for Jury Duty. If you are summoned for Jury Duty, Team Members must inform their supervisor and People Operations immediately upon receiving a summons to jury duty with a copy of the jury duty summonsvia the PeopleOps Help Desk.

WeSalute will pay full-time and part-time employees for up to 5 business days of leave for jury duty.

Team Members will continue to receive all current benefits and benefit premiums while serving on Jury Duty.

While we provide up to 5 business days of paid Jury Duty Leave. We will adhere to any longer periods mandated by state laws. Eligibility for taking additional paid time off may vary depending on state regulations.

If a Team Member is dismissed from Jury selection or Jury Duty early, they must notify their supervisor and PeopleOps via the existing request, who may request their return to work.

Holidays

WeSalute holidays are classified into two different types. Global Holidays and Country Holidays. Global Holidays are applied company-wide for all team members. Country Holidays are automatically applied depending on the Team Member's remote location. Refer to Deel to verify your Country Holidays.

WeSalute recognizes your remote work location's country holidays. If you qualify for Holidays as a Benefit, Holidays are not connected to your Employee Type and instead governed by your Office Location. Deel uses "Office Location" as the location of your remote work office.

If you move, your Office Location will be updated and your Holidays will be updated.

FULL-TIME

The Bureau of Labor Statistics indicates that 7.6 paid holidays is average in distributing to "all full-time employees." However, WeSalute values our Team Members by administering 11 paid, federal annual holidays for full-time Team Members located in the United States, or stationed at an international U.S. military installation.

  12. You can choose a "Floating Holiday." You will recognize this holiday as yours and it will not be officially recognized company-wide. You will need to get PeopleOps approval by selecting your Floating Holiday in Deel Time Off.

Note: When a U.S. federal holiday that is recognized nationally as a bank holiday falls on a Saturday, WeSalute will observe the holiday company-wide on the preceding Friday. Holidays that fall on a Sunday will be observed the following Monday.
