Communication Responsiveness Policy
Introduction
Purpose
The purpose of this policy is to establish comprehensive guidelines for communication within WeSalute, fostering productivity, collaboration, and accountability among Team Members in alignment with our remote-first culture.
Scope
This policy applies to all Team Members of WeSalute, irrespective of their position or department.
Timely and Asynchronous Communication Elements
Timely Response Expectations
Team Members are expected to respond to work-related communication within a reasonable timeframe, typically 24-48 hours during regular business hours. However, it’s recognized that certain situations may warrant immediate attention.
Encouragement of Asynchronous Communication
We encourage the use of asynchronous communication methods, such as email, messages, and Slack channels, where immediate responses are not always expected. This allows for flexibility in managing workload and promotes work-life balance.
Communication Channels
Team Members should be responsive across all designated communication channels, including email, phone calls, messaging platforms, and in-person communication where applicable.
Team Members are encouraged to prioritize communication channels based on the urgency and nature of the message. For urgent matters, synchronous communication methods may be more appropriate, while non-urgent issues can be addressed asynchronously.
Transparency and Collaboration
Work happens on platforms visible to all Team Members, promoting transparency and inclusivity. Conversations should be directed to open Slack channels where anyone can participate, facilitating collaboration and problem-solving.
Escalation Procedure
If a Team Member fails to respond to work-related communication within the specified timeframe, the sender should follow up with a polite reminder. If non-response persists, the matter should be escalated to the Team Member’s manager for further action.
Policy Review, Disciplinary, & Responsibility
Policy Review
This policy will be reviewed annually to ensure it remains effective and aligned with the needs of WeSalute and the evolving nature of remote work practices.
Disciplinary Action
Employees who consistently violate communication policies may face disciplinary consequences in proportion to the violation, as determined by WeSalute Management.
Responsibility
It is the responsibility of Team Leads and People Operations to ensure that this policy is communicated, understood, and followed by all Team Members.
