Recording Consent Policy

Introduction

Purpose

This policy outlines the guidelines and procedures for obtaining consent from employees of WeSalute for recording video during remote work activities.

Scope

This policy applies to all employees of WeSalute who may be involved in video recording sessions during the course of their remote work.

Before recording any video, explicit consent must be obtained from all individuals who will be visible or audible in the recording. If you are an organizer of a meeting, it is your responsibility to inform all participants that the meeting will be recorded. In jurisdictions with all-party consent laws, individuals have the right to leave the meeting if they do not wish to be recorded.

  • Prior Notice: Employees must be provided with prior notice of any planned video recording sessions.

  • Consent Form: Employees will be asked to sign a consent form or provide recorded verbal consent acknowledging their understanding of the recording and granting permission to be recorded.

  • Voluntary Participation: Participation in video recording sessions is voluntary, and employees have the right to decline participation without facing any adverse consequences. Please note that this provision applies only to employees residing in all-party consent states.

  • Purpose of Recording: Employees will be informed of the purpose of the recording and how the recorded content will be used.

This may include but is not limited to:

  • Meetings
  • Training sessions
  • Documentation

Employees have the right to revoke their consent for recording at any time by notifying the company in writing via the PeopleOps Help Desk. However, revocation does not apply to recordings already made and distributed prior to the revocation request.

Confidentiality and Privacy

  • Confidential Information: Employees must refrain from recording any sensitive or confidential information during remote work activities.

  • Retention and Storage: Recorded videos will be stored securely and will only be accessible to authorized personnel for the purposes outlined in this policy.

Compliance

WeSalute shall comply with all applicable privacy laws, regulations, and state laws.

Policy Acknowledgment

By continuing employment with WeSalute, employees acknowledge that they have read, understood, and agreed to comply with this Recording Consent Policy.

Policy Review, Disciplinary, & Responsibility

Policy Review

This policy will be reviewed periodically to ensure its effectiveness and relevance to the company's operations and compliance requirements. By adhering to this policy, WeSalute aims to uphold the privacy rights of its employees while facilitating effective communication and collaboration through video recordings during remote work activities.

Disciplinary Action

Employees who violate this policy may face disciplinary consequences in proportion to their violation. WeSalute management will determine how serious an employee’s offense is and take the appropriate action.

It is the Team Leader, People Operations and CEO’s responsibility to ensure this policy is followed.
